Job brief:
Your job as an Sales Support & Administration Manager will be to provide support to our managers and employees and coordinate all daily administrative activities.
The Administrator should be highly organized and able to multitask with ease. To supervise daily support operations of our company and plan the most efficient administrative procedures. You will lead/coordinate a team of professionals to complete a range of administrative duties in different departments.
A great Sales Support Administration Manager has excellent communication and organizational skills. The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
Main Responsibilities
• Plan and coordinate administrative procedures and systems and devise ways to streamline processes
• Vendor management: responsible for managing and maintaining the relationships between an organization and its contractors, and service providers. Be involved in the vendor management process, from pre-screening and qualification to negotiation and communication. Work closely with internal business stakeholder and align the vendor management process with the company's goals and initiatives.
• Support all sales activities within Contact Center hub, ensure the smooth and adequate flow of information within the team to facilitate other business operations
• Monitor costs and expenses to assist in budget preparation
• Oversee facilities services, maintenance activities, organize and supervise other office activities (recycling, renovations, event planning etc.
• Manage schedules and deadlines, at the same time ensure operations adhere to policies and regulations
• Keep abreast with all organizational changes and business developments Overseeing special projects and tracking progress towards company goals.
Other Administrative task as following:
• Book meetings and schedule events
• Monitor/Order office stationery and supplies
• Maintain internal databases
• Submit expense reports
• Keep employee records (physical and digital)
• Maintain a filing system for data on customers and external partners
• Prepare regular reports and presentations
• Organize, store and print company documents as needed
• Make travel arrangements
• Update office policies and ensure compliance with them
Requirements and skills
• Proven experience as an Administrator or relevant role
• Familiarity with office equipment, including printers and fax machines
• Knowledge of office policies and procedures
• Experience with office management tools (MS Office software, in particular)
• Excellent organizational and time-management skills
• Strong written and oral communication skills
• Problem-solving attitude with an eye for detail
• Bachelor's degree.
